Case: Molly James is the owner of Simply Fresh Inc. cleaning company and things are beginning to pick up faster than she can keep up. She has hired over 30 new people to lead the night shift and she has been getting reports that there is some tension between the managers and the employees. There has been reports of low morale, low productivity and lack of accountability. The lack of effective communication as caused the cleaning company to be unable to obtain new business and has lost a few customers.

Action: Molly needs to send a memo to all the employees explaining the importance of effective team communication and how to perform in high performing teams. Be sure to include the barriers to effective communication and how they can have an effect in behaviors that drive trust in teams.

Subject: Importance Of Effective Team Communication & How To Perform In High Performing Teams

Dear colleagues,

The purpose of this memorandum is to inform and educate you all about the importance of effective team communication and the ways by which you all can perform well in high performing teams. In recent days it has come to my notice that some of the teams are battling with miscommunication between the superiors and subordinates and also it has been noticed that people are not highly motivated which is hampering their productivity and accountability.

The company has already lost the existing customers as well as the company is finding hard to procure new business in the market because of the above cited reasons. So it's very much important for all us to follow the effective team communication and also we should adapt the practices and skills to improve the productivity of the teams.

Every manager should take the responsibility of motivating thier subordinates and also to educate them about the need of effective communication so that the individual and company's productivity can be boosted.

I'm sharing below some barriers to effective team communication and how they are effecting the behaviour which build trust in teams.

Lack of Clarity

Clarity of communication is very much important in building the team and maintaining the trust in team. It's very much important in an organisation to have clarity in communction so as to deliver a clear message among the teammates and for effectively explaining your point or suggestion to the listener.

Inconsistency in Communication

Every leader should maintain consistency while interacting with the individual team members durings a day in any shift or during any course of a week or a month because every team memeber needs same level of communication so that they rely upon their managers and can trust other teammates.

Language Differences

It's the duty of every manager to remove the hurdle of language difference within the team or while communicating with the team members. Managers and the subordinates sholuld choose the common language of communication and they sholuld also try to learn the official language of communication in the company so that there is no language diference in the teams or within the company.

Not Enough Listening

Basically communication is two-way channel so it's very important for the managers and the subordinates to listen carefully and cleary so as to mitigate the chances of miscommunication among each other. Everyone should ask for clarification in case of any confusion and no one should interupt in between when two or more individuals are communicating and the managers should encourage feedback after every team communication for better clarity of facts and orders.

Non Verbal Cues

What you don't say is just as important as your spoken words. Make sure your body language is communicating a message of attentiveness, friendliness, and acceptance. Maintain eye contact when you’re speaking and listening and avoid gestures such as furrowing your brow or crossing your arms.

I hope now everyone will carefully follow the aforesaid ways for effective team communication and for building a high performing team so that we can regain our old customers and expand our business.
