  1. First component is analysing your audience –It is necessary to understand their needs, intelligence level, values, priorities, reactions, and how they are influenced with effective message.
  2. Developing your ideas – Identify and analyse business issues/problems with expertise on business thinking to overcome business problems on hands.
  3. Describe and deliver effective message with Creative message structure with key points which are most effectively reduces resistance and gain advantages.

All business messages have general purpose as well as specific purpose to collaborate with your audience. It is necessary to collect and define overall approach and gathering information to organizing your message with type of audience in concern. Business message should accomplish purpose of audience and should meet requirements of targeted members precisely. The AIM planning process helps to craft best thinking and allows to develop and deliver influential messages.

Management’s task is to formulate and implement a communication strategy blends the right mix of tools and media to deliver the right message to right place at the right time for right audience ( Paul Baines, Chris Fill, 2014)

  • Identify primary and secondary audience from formal and informal sources exa: suppliers, customers

  • Determine level of understanding, knowledge and expertise that target audience poses.
  • Project general and specific requirements, perceptions, attitudes, expectations and preferences of audience

Idea Development

Business person may have skills to make sound judgment about facts and figures from complex problems and confusing issues regarding business activities. They use various methods to get ideas like writing notes, facts, analysing data with diagrams, brainstorming techniques to examine best possible solution or ideas.

This process involves

(1) List out the business problem, issues concern with stake holders or other.

(2) Analyzing of problems and identify facts, truth whether idea has been put to right place or not.

(3) Clarify your objectives with clearly defining idea, scope and influence level to others by either direct or indirect approach.

Effective message structuring – Organize message

Meaningful mesage in organization reduce time, energy, misinterpretation, cost. Business communication message needed to be created by framing key points with logical flow of message and demonstrate positive tone which can be easily understood by target audience. Clarity of expression needs the message to be well expressed, because if encoding faulty , the message may be misinterpreted (Sethi, 2010). It is required to compose Message with strong words that will help to use effective design elements and professional layout and make sure to deliver message successfully.
