Oh no! There has been a major unexpected disruption in your project plans!
The Manchester United Soccer Club Committee is extremely concerned with the timelines. The
tournament is set to commence in six (6) weeks yet the schedule has fallen behind and in danger
of not meeting the target date! If the project is not fast tracked as an urgent priority there is a real
danger of the tournament not taking place. This will result in significant reservation bookings,
expenses and funds lost. The reputation of Manchester United will end up in tatters and the club’s
financial position will take a significant hit!

To the Project Management Team,
I am writing to bring to your attention the current issues with the Manchester United Tournament.
The committee is extremely concerned with the timelines. With only 6 weeks to go before
tournament kick-off, we are finding that the schedule has slipped. Grounds haven’t yet been
reserved, accommodation not yet finalised and sponsorship is lagging expectations. We do not
have a full quota of volunteers either!
The project team is required to front the Committee to provide:
 Project status update
 Honest appraisal of the schedule
 Fast tracking options
 Additional resource requirements
 Outstanding matters to be addressed
 What needs to be done to have the project back on track
We are in serious risk of losing the funds injected into the tournament and major reputational
losses.
The committee requires this project back on track quickly

Some of the risks that are related to the news are

  1. The activities are moving behind the schedule and there is a major risk that the entire tournament might not take place.
  2. Facilities might not be arranged at the start date of the tournament.
  3. Grounds might not get reserved for the tournament to take place. The ground authorities might give the ground to other bookings, when the grounds are not booked on those particular dates of the tournaments.
  4. If the tournament does not take place the reservation costs must be refunded.
  5. Sponsorships are not finalized and if the sponsorship is not coming for the players requirements, then the team management would face a lot of financial loss.
  6. Accommodation for the players and the support staffs are not identified. Last minute arrangements would definitely see a hike in the price of the bookings.
  7. Volunteers are not identified to carry out the jobs that are pending on a full scale basis.

Above mentioned are the risks that are identified.

Some of the major consequences of the risks that are identified are

  1. The would a huge loss for the company financially if all these items are arranged at the last minute.
  2. If the tournament do not take place, there would be loss of reputation. It would affect the future business of the company.
  3. The employee morale in the company would be very low, as they were not able to deliver as per the requirements.

All these risks could be mitigated and to a great extent avoided, by putting in place a risk management strategy.

  1. First a management plan must be devised as to what is to be done first according to the priority and the requirements of the tournament.
  2. The project leader must accept the risk management strategy, and must deploy the adequate resources to the various parts of the plan to be executed effectively.
  3. Resources must be allocated to see the accommodation bookings, sponsor confirmations, travel bookings, grounds availability.
  4. A monitoring team must be set up to see whether the allocated resources to the various requirements are functioning effectively to complete the tasks within the timelines.

Thus with this strategy, the tournament could take place according to the set target dates.
