  • A budget in simple terms, means an ESTIMATION of income or expense for a particular period of time.
  • Whereas, a variance report or variance analysis (both mean the same) is a document which compares your budgeted figures with your actual figures for each and every line item included in the variance report.
  • This document acts as an evidence to understand why there is a deviation from the budgeted to the actual figures and analysis in detail as to what measures can be taken in future to reduce this gap.

The main process of performing a budget to actual variance analysis is to determine what went wrong and caused differences between the estimated and actual costs and explain in detail the reasons for the variance. The main objective is to analysis the what's and why's as mentioned below:

  • Why did one department performed better (or worse) than the others?
  • Why are operating expenses higher than the last year?
  • Are these variances caused due to external market conditions or due to internal reasons etc.
  • Most organizations or businesses perform variance analysis on a periodic basis (i.e. monthly, quarterly, semi annually or annually) which entails the senior management to understand the current situation versus the estimated situation and take corrective actions based on the above variance analysis.
