Complete a Travel Authorization (T/A) form with approval signature from your immediate supervisor. (Im the supervisor. You can get the latest TIA form off the HR intranet portal at the following 1. Submit the T/A to Human Resources (HR). HR will forward it directly to our designated travel agency. 2. (Our current designated travel agency is Dawson Travel.) An agent from the travel agency will contact you directly and develop your trip itinerary with you. The travel agency will bill Smith&Smith directly for your airfare, accommodations, and car rentals. 3. (You should do this right away. You may be able to choose an airline that you have frequent flier miles with if you can book far enough in advance. If you book within two weeks of the travel, you are required to use discount airlines.) After completing your trip, turn in receipts for incidental expenses to HR. You will be reimbursed for these expenses and receive a daily stipend to cover meals. 4. (Make sure to review the company policies so you know which incidental expenses are covered and how much your daily stipend will be,) This should get you started. A) Bryan has improved upon the message as per below.

1 First Bryan has explained to John for how to access the Travel section on HR intranet portal and there he can find all the policies and form and from there he can find T/A(Travel Authorization) under given link.

2 Travel agency name-Dawson Travel is advised to John

3 It is clearly advised that expenses related to airfare, accommodation and car rentals will directly be billed to Smith & Smith by travel agency.

4 It is also advised to John that he should book airline right away and to choose the airline with which he has frequent flier miles points and if he books within two weeks of travel then he should book ticket with discounted airline.

5 It is advised to John to read the company policies in order to know which incidental expenses are covered and how much daily stipend will be.

6 John has also been advised if he needs any help in filling up the T/A form then he can contact HR and when T/A form is duly filled in then he can inform Bryan about the same and Bryan will sign the same immediately.

B) More effective message will impact work outcome positively, first it will give all the information needed to access, fill up and supervisor approval and who is the travel agency and how to book and plan the travel and what will get reimbursed and what will be covered under incidental expenses and what is the daily stipend and this will help employee and his supervisor to make work-life balance of an employee without affecting the work requirement of the company and also this policy will retain the employee to work for the longer period with the company which will impact work outcome positively and same will be beneficial both for the employee and the company.

C) More effective message will impact workplace relationships positively because it will put positive impression on the employee about company's HR policies and how company treats its employees and this will result into a positive workplace relationships between company its employees and between its employees.

D) First- I will ask employees to use travel cards(given by company) to use for any incidental expenses in order to save them the hard cash which they have but subject to limits set by company on per day basis and as per designation/level of the employee.

Second: I will arrange travel insurance for the employees who are going for travel in order to save employee and company for any un-wanted incident and its associated expenses, i.e. Theft, Fire, air-travel related incident, etc.
