Ans5) The HIPAA Security Rule requires physicians to protect patients' electronically stored, protected health information (known as “ePHI”) by using appropriate administrative, physical and technical safeguards to ensure the confidentiality, integrity and security of this information.

- Administrative safeguards
These safeguards establish standards and specifications for your health information security program that involve the

following:

• Security management processesto identify and analyze risksto e-PHI and implementing security measures

to reduce risks

• Staff training to ensure knowledge of and compliance with your policies and procedures

• Information access management to limit accessto electronic health recordsto protect health information,

including the information in EHRs

Physical safeguards

These safeguards control physical access to your office and computer systems. Examples of required physical

safeguards include:

• Facility access controls, such aslocks and alarms, to ensure only authorized personnel have access into facilities that house systems and data

• Workstation security measures, such as cable locks and computer monitor privacy filters, to guard against

theft and restrict access to authorized users

• Workstation use policiesto ensure proper accessto and use of workstations

Technical safeguards

These safeguards include hardware, software, and other technology that limits access to e-PHI. Examples of

required technical safeguards include:

• Access controlsto restrict accessto PHI to authorized personnel only

• Audit controlsto monitor activity on systems containing e-PHI,such as an electronic health record system

• Integrity controlsto prevent improper e-PHI alteration or destruction

Medisoft includes four main utilities to maintain the data is following---

1. Rebuild indexes--- Rebuild indexe is a process that check, verify the data and correct the problem if internal problem is exist. It can not change the content of any data file. File should rebuild once in a month for proper work.

2. Packing data--- It is the deletion of database. It delete all the data that has been already marked to delete. If database is very large then it will take more time to delete the data. It is just like the process to delete the data in recycle bin.

3. Purging data--- It is the process that delete those file of the patient which is not seen by the doctor any more.

4. Recalculate payment balance---It defines, as the process of update balance in the patient account.
