Hi,

In an organization the main aim is customer satisfaction.Every organization should have a goal and they are working harder to acheive that goals.Inorder to achieve these company goals they provide many task to achieve the target. The company also measures the organization progress, and they are more aware of future and think about what all methods are to be applied to achieve the organization goal. Here it is given that Elmax Africa is going to adopt a robust information system. They are doing so to improve the organization goals. It is a computer based information system and is better to cope with errors.Every information system have the possibolity of errors during the execution. So there may be difficulties to achieve their goals for the business ,So in that cases it is better to provide robust information system as they identify the errors and heipls to handling every unexpected actions that affect the organization. It is perfomed by coding and displays error messages during the execution and it is very helpful for the organization to easily debug the program.

Let us discuss the questions above one by one.

a)In an organization information system is very much important for their development. They use different types of information system to achieve their basic needs.Let us explain some of the information system that an organization uses in detail:

  • Transaction Processing System: Every organizations goal is to achieve a smooth functioning. It is a computerized system that records the daily routine of an organization. It is very important for every organization as it provides a correct routine and the goals, tasks etc,are highly structured. All transaction related datas between the organization and customer are captured here.It provide a structured manner for storing and detrive that data in future. An example for Transaction Processing System is ATM.Today ATM is an imortan transaction system. As before this ATM introduction, for any kind of transaction people have to go to the bank. But if we have an ATM card we get money from the nearby ATM machine. It consist of various key component identification ,tracking, service and order management.
  • Decision Support System: Decision Support System is another information system ,it helps the manager to take a decision. It have more analatical power than other systems. It is a user friemdly software, the user can work sith them directly. It deals with both internal and external data. This is better than transaction Processing system as it access data from a data repository an pass the data through a model so that better decision can be provided by the seniors. An example os Decision Support System is Business Intelligence,It is based on historical data It allows user to develop and run queries that are used to guide and support decision making.
  • Office Automation System : This system reduces the manual effort. It enables the data to move from one system to another system without the human interventions,Its main aim is to automates existing business pocess.I helps the securely analyzing and collecting data to accomplish everyday tasks.I helps to store large amount of data in little space.I helps to reduce the manual errors. It provides better efficiency. It helps to retrive information instantly. An example for Office Automation is Sales force system,Which is ticketing systemused to process IT information in the office.

b) In order to increase the productivity and efficiency of work the first thing is to make the customer happy. That is providing the requirements of the customer in a better way so that the customer increases and the production also increases.Let us describe hoe each information system helps to improve the productivity :

  • Transaction Processing system : This are provided to process repetative transactions efficiently and accurately. It provide improved security, data integrity and ease of use.So by this the productivity can be increased.
  • Decision support system:In type of information system better decision are provides so that the customer satisfaction will be high.It requires reduced decision cycle time,as it provide better information just in time for decision making.I provide enhanced workforce and it provide fast data analysis.Easy sharing of facts and ideas.Improve communication and collaboration among decision makers, increased organizational control and learning of new concepts and development of better understanding of the business. These all provide better productivity and increased efficiency of work.
  • Office automation system: This provideincreased productivity and efficiency as it requires less space to store data, removes data redundancy, allows multiple people to access data, reduce the possibility of errors,It is fully automated so that it reduces the need for paper work.It can save tremendous amount of money and time.

c) In computer based organization the business is fully computerized and the manual efforts is less. The information system actually what is doing is that they collect relevant data, process them ,store and distribute information. This information are used for decision making and control of organization. For an information system the the main activities are input, processing and output. This provides the basic information that an organization needs.

Input captures the information needed for the organization from the external environments.Processing means the inputs are raw facts, that inputs are processed ann converted into meaningfull datas that are needed by the organization. The output activity is the important one as the cutomers are waiting for this outputs. That is the processed information are the outputs and are passed to the needed customers.

At last in the information system the main thing is feedback. That is the organizations waiting for from the customers. If the customers are satisfied with the processed information then the customer will provide a good feedback.A good feedback will increase the productivity of the organization and the business will develop faster.
