The communication plan for employees, supervisors and managers detailing how they will be informed of the policies/procedures and their role in implementing the policies/procedures is mentioned below:

It is important for any organization to not only create the policies and define the procedures but also to communicate it to people who will be following these policies and procedures or enforcing them.

A policy or procedure cannot become effective until and unless it is communicated to the stakeholders thus an organization needs to have effective plans and procedures to communicate about the policies and procedures which has to be followed by the employees.

To effectively create a communication plan we need to first focus on the employees such as their background, qualifications etc. so that the communication becomes effective. Imagine a situation where the employees do not understand French and the communication plan states that the information about the policies and procedures wil be communicated un French. This communication will become ineffective and useless for the organization.

I am assuming that the communication policy which we are creating is for an organization where all he positions are white collar jobs.

The communication plan includes four modes to inform employees, supervisors and managers and policies/procedures and their role in implementation, the modes are:

  • Organizational E-mail
  • Instant messaging app which the organization uses
  • Company's internal HR portal
  • Conference call

The communication will be divided in two parts, first will be a general communication to all the employees and second will be specific communication where the communication will only be sent to the managers or supervisors who have a role in the implementation of policies/procedures.

The policy or procedural change will be first communicated through the email as everyone in the organization is available on the mail and also emails are accessed on daily basis by the employees. Since emails are formal mode of communication this channel is added.

Second will be a communication sent over the instant messaging app which is used by the organization such as Whatsapp, Dingtalk, Zoho People etc. Most of the employees check their IM apps many times a day and thus this method will be effective in communicating the policy changes. This method is chosen because employees who may be in field or on leave may not have mail access but they can get to know about the policy changes instantly over message.

Company's internal portals such as HR portals are also accessed daily by the employees to mark attendance or to apply for leaves etc. This portal also helps the organization in communicating about the policies of the organization in a detailed way. The information mentioned here may remain permanently or until the organization's discretion unlike mail and messages which can be ignored or deleted and that is why this medium was chosen.

Conference calls can be made by the managers to their team in order to explain the policies and procedures in a better way. This method helps in providing information to specific people whose role is to look after the implementation of the policies. This method also helps in reinforcing the policies/procedures which are communicated through other modes and therefore making the communication more effective.
