4. QI Toolbox Technique

For a meeting to be effective, the team must operate with a common purpose and specific goal. Communication of the meeting’s common purpose and specific goal is usually accomplished by establishing an agenda. An agenda is a list of the tasks to be accomplished during a meeting. Using an agenda ensures that every team member knows which items will be discussed or worked on. The agenda should be sent to all team members before the meeting. This allows them to prepare to discuss specific agenda items. The agenda also should indicate how long the team will spend on each item. (See the sample agenda in figure 4.5.) Setting time frames for agenda items helps the team leader keep the group focused on the process and moving forward.

Standard agendas begin with a review and approval of the last meeting’s minutes. Once this has been accomplished, the PI team should review the agenda for the current meeting and approve the time frames that have been set. This allows the individual team members to have input on how long a certain agenda item should be discussed.

As a closing item of business, many teams find it helpful to evaluate the effectiveness of the meeting. Asking the following questions may be helpful:

  • Did the team accomplish what it set out to accomplish during the meeting?
  • Is the PI process moving forward?
  • Does the team need to ask additional people to sit in on the process meetings?
  • Did members participate appropriately, listen effectively to other members’ suggestions, and stay focused on the agenda?

Finally, the next meeting’s agenda and team member assignments should be agreed upon and tied to the current meeting’s evaluation process and minutes. In other words, the next meeting should be structured based on the accomplishments of the current meeting.

When you review the Case Study look at the case study questions. Answer the questions in your own words
as you read the examples. The Real-Life Examples should help you to answer the questions for the case study in a concise manner.

1. In your opinion, is there an opportunity for improvement in this system? Why or why not?
    If yes, the reasons why this case presents opportunities for improvement. The reasons should come directly
from the case itself. (For example frustration & anger by nursing staff & admissions clerk)

2. If there is room for improvement, is a PI team appropriate in this context? Yes or no and why?
    (Apply the fundamentals of team leadership. Take into consideration the meaning of PI team - Members of the healthcare
     organization who have formed a functional or cross-functional group to examine a performance issue and make
     recommendations with respect to its improvement.)

3. a. From your knowledge of hospital organizational structure, reading chapters 1, 2, 3, and 4
        chapter 4 case study, who should be on the PI team? ("Effective Teams & Team Composition")
    b. What departments should be represented? (think about the departments involved in this process directly and
        indirectly and the employees who actually deal with the situation.)

1. Yes , it is makes improvement in next meeting. By conducting one sample meeting and evaluating will provide the team members to know their faults and find ways to avoid those faults and makes suggestions of betterment of the next meeting. It is the self investigation method for the organization to find its own strength and weakness. They know where they find difficulty , where they handle the situation effectively. By this they find the ways for improvement.

2.Yes, PI ( performance Improvement) team is appropriate for this evaluation .They are designed especially for the improvement of the performance of the organization . In this evaluation process , the PI team can take a leading role . Then only it can evaluate all aspects or all members involved in the process and make suggestions and recommendations . Only if it takes the leadership role it can make the performance improvement in the organization.

3. PI Team include the following members, the leading role PI director can be from any department but need more experience. The team can be as two divisions . one as managerial functions can include the Chairperson, Deen , Medical director and the chief physician .They can take a leading and supervising role. Other as executive function as doctors, nurses, finance manager, persons from HR department and each person from all departments .They can execute the works given from the managerial group of the team .This is the staff positions.

For an organization to accomplish its goals all members has to work . If each person from each department is assigned then they know their level of performance of their department . It helps to identify themselves and correct it by own .Hence everyone should be include in the team.
