While writing a business email one usually spend most of the time in composing the message and the second best time is spent on analyzing the purpose and the content of the message,minim;la or no time was given to evaluating the message at the end. But the most time should be spent on analyzing in order to avoid communication failure as analyzing makes you think about what is your purpose for communicating and what is the outcome you would like to achieve. Many people in a rush jump into composing the message without adequate preparation. When you take the time to analyze the purpose, audience, content, and medium, your next step, composing, will be much easier. Now the next step is just to determine the content and organize it. evaluating the message is equally important as it helps you ensured that it is complete, accurate, clear, concise, easy to understand, and error-free.

When you are faced with an unfamiliar audience make sure you know the purpose of communicating and the ultimate goals of the audience and most importantly there should be a gap in the knowledge of the communicator and the audience in order to generate interest. The most important things to give time while composing a message to an unfamiliar audience are analyzing and evaluating the message.presentations would generate good amount of interest in this case.
