Whenever change is planned in an organization ,stakeholders are the people who would be effected by the change either in a positive manner or negative manner. It is the responsibility of the management to analyse the effects the change would have and come up with proper solutions before communicating about the change to the stakeholders. The management need to arrange a face to face meet and explain the situation of the organization and the circumstances that led to the change . They need to explain how the change is going to change the organization and it's operations and how the stakeholders are going to be benefitted with the change. It is the responsibility of the management to answer any queries of the stakeholders and show solutions to all their fears and speculations regarding the change and only then the change must be initiated.
Sending mails and messages might not be a good idea especially when the change is a big one and regarding a crucial issue. There is a chance of panic and to avoid this the communication needs to be done directly and in an effective manner without creating any tension or excitement which would be beneficial for both stakeholders and the organization.
