You need your manager’s approval (assume you had it). You need to earn at least a B in the course. The cost cannot exceed a company limit. The course needs to be applicable in some way to your job. The manager sends the worker a formal letter to communicate the actions taken, expected outcome, and next steps . Write a one-page response to the inquiry, in business letter format, advising your worker that the request needs to be reviewed by a upper department. Explain what actions you had taken, your expectations, and foreshadow next steps.

Dear sir,

This letter is in regards to your request for reimbursement of fee for the tuition that you wish to take up. Before we go ahead with anything , I, the manger of this company would want you to have a look at our policies for tuition reimbursement and how you could go about the formalities for availing this benefit.

Our Company has a few policies regarding the reimbursement of tuition fee for the course an employee wishes to pursue. If an employee meets the criteria, then they can avail this employee benefit.

Here is a list of requirements you should fulfill to be able to avail tuition reimbursement.

  • Your department head should approve for the reimbursement ( sole discretion of the manager). They should be able to decide whether this course could benefit not only your progress but the company's too.
  • There are a certain number of courses that our company approves of.
  • Reimbursement is provided only if the employee secures a certain grade and above. There is a benchmark which the employee must attain to be able to avail the reimbursement.
  • Our company will reimburse only 75% of the tuition fee and the rest has to be arranged by the employee.
  • The fee amount will be directly transferred to the institution where the employee plans to pursue the course or degree.
  • The employee must not leave their job in the company before the completion of the course and they have to be bounded to the company for a time period of 1 year after completion of the course, failing which no reimbursement will be granted.The employee will have to sign a bond for this.

I would further like to bring to your notice that I have done my bit of job and it is the discretion of your department head to decide if this benefit can be availed by you. Also, you have to satisfy all the requirements for the same.

Further the higher ups/ upper department (financial department) need to approve the request for tuition fee reimbursement.
