Describe the nontechnical print policies in your workspace environment.
Some of the most important Printing policies should be:
Print Emails Only in Black and White
Other than linked text, emails don’t generally contain a lot of color (and those links aren’t that important on a printed document). So, rules can be set up on printing software to only allow emails to be printed in black-and-white. This one time setup can save you a lot of money in the long run.
Route Large Quantity Print Projects to Lower Cost Devices
Some printers cost less to print from; so, to cut costs it makes sense to route high volume print projects to these devices. This could include meeting agendas, memos, presentations, booklets and much more. Unless you need your documents printed to very specific color or paper stock specs, using the lower cost is a more efficient alternative.
Only Print Duplex
This is one of the simplest changes any organization can make. Employees generally don’t think about saving paper or cutting costs when they are printing – so they don’t even think to check their print settings. But, most aren’t going to be upset if their default settings printed their documents 2-sided.
Print Jobs to the Cloud
To eliminate the waste of print projects that are either sent to print twice or never picked up, you can have all print jobs stored in the cloud first. Then, when your employees are ready to pick up their print job, they can pull them from cloud, right on the printer. This not only ensures the right number of print jobs gets produced, but it provides some flexibility as well. With this cloud storage, your employees can go to any cloud-enabled device in your office and pull their print project.
