The main objective of both the spreadsheet and the database is to store and manipulate data. However, both have their own pros and cons. So Let me cover the topics one by one:
1. Why it is not advisable to store large amounts of data in spreadsheets
It is not advisable to store huge amount of data in the spreadsheet as compared to the database because the spreadsheet is mainly designed for storing a small amount of data. But many prefer using the spreadsheet because it requires no special training and anybody can use it without much effort.
If the amount of data is more it is more likely to be used by more people and if using the spreadsheet more copy of the same data can exist and this can cause duplication of data and also sometimes changes made on one copy may not be done on the other and this can cause data inconsistency.
The database provides data integrity and security, also there is no duplication of the data.
2. Reporting and querying capabilities of databases
The reporting feature of the database allows us to get a full formatted result of the queries that we give .the reporting feature is helpful in analyzing our data and also decision making of the data.
Querying enable us to take data from tables and combining one or more tables to retrieve data in any manner or in any conditions we need.
3. Benefits of using a database for collaborating and sharing information among departments in a business
Due to the sharing of data among different departments different versions of the same data can occur which can lead to inconsistency, this can be removed with the help of the database.
In a huge organization, the same data needed to be shared by many departments and the change made by one department must be updated in the other department too. this can be explained with an example
Assume about an online shopping company. A user places the order and the order details are shared by the shipping department, the billing department and the customer department which contains all the information about the order so some part this information needed by other departments are shared. now suppose the user changes the shipping address which is readily changed in the customer .if this change is not updated in the shipping department then there comes an inconsistency, this can be avoided with the use of a database.
