Happy Valley Family Medicine is a mid-size physician practice, affiliated with an academic medical center. There are three physicians in the practice, along with three nurses, two physician assistants, and an office staff of four to handle appointments, billing, and other office activities. Currently the practice still maintains a paper-based record system. The medical center has an electronic medical record system and is in the process of requesting all affiliated physician practices to adopt the same system, to facilitate integrated records and a patient portal system.

The office manager, Betty Jones, has been employed with Dr. Ross for ten years. As an RN she enjoys interacting with the patients and physicians and is clinically quite knowledgeable, but does not favor the move to the new practice system, which will require use of tablet computers for all data collection. She has expressed her opinion that “I want to look at the patient, not this machine.”

In addition, the new system will permit Dr. Ross to better meet the requirements of Meaningful Use legislation, but his staff needs to learn about the reporting requirements.

Dr. Ross has learned that the academic medical center has a new HIM supervisor, Sherry Simon, RHIA, who is quite technologically savvy and has worked with other physician practices to help them with software and hardware implementation, as well as staff training on a variety of topics. Sherry has agreed to meet with Dr. Ross to determine if she can help.

A change of technology is always a difficult task so the reaction by the Betty is a natural reaction but it the leaders duty to remove fears and anxiety of any new change

The few steps sherry should consider while convincing the staffers to use the technology are

1.she should first understand the clinics existing system of maintain medical records .

2.she should then understand the new paperless technology

3.she should check with Dr Ross on the background of his employees like their computer knowledge,education.

4.she should take a pretest or a survey questionnaires to understand the staffs knowledge And concerns regarding the technology

5 this survey will help her identify their learning needs

6.once identified she should focus on teaching the uses .pros of using the new system

7.Give them the outcomeo bjectively like by using the system time will be consumed less,more accurate results,easy to store medical records,availability of records for verification,helps in environmental saving

8.objevtive outcome will motivate them to embrace the change

9 once they are convinced break the new technology system into smaller parts to implement

10.then slowly start implementing one at a time

11.solve technological glitches on a timely basis to avoid decrease in the motivational level .
