At the same time, designated employees in each department of the municipality receive a notification that a new complaint was received and stored in the file. Their responsibility is to retrieve the letter from the file and reply to it within one week Their reply is stored in the same file. Weekly reports are produced from the complaints master file and given to the City Manager. Two weekly reports are produced: a department summary and a detail list.
