Knowledge Management is the systematic process of collection, creation, analysis, measuring, and sharing of knowledge, data, and information generated within and outside an organization. Knowledge Management creates value for the company through efficient and proper use of knowledge collected and generated within the systems. This results in improved productivity and efficiency of work in the system and eliminates wastages. Many big organizations have bundles of hidden knowledge, information, and data that can be used, analyzed and shared for improving the business performance. Much of the knowledge within an organization remains in crude or raw form and is not documented. This leads to unnecessary wastage of knowledge which can be used for an organization. for eg: Workers in an organization are street smart and have ready solutions for any problems on the shop floor but their views are often neglected and brushed aside by managers. Such rudimentary knowledge can also be harnessed and used. Information sharing within an organization can lead to financial gains. The use of Japanese concepts like kaizens where one improvement can be horizontally deployed to others are also an example of knowledge management.
In order to pay dividends, the organization must implement KM in an organized and systematic process. Procedures must be developed, systematically deployed and maintained to ensure that knowledge is captured consistently. Knowledge management results in making informed decisions by relying on data. Employees must be encouraged to maintain data and document their action plans and outcomes. Much big organization benefit from KM where even if a small issue is solved, it results in saving of millions due to their scale of operations. Organizations such as General Electric are data-driven where they are focused on capturing every data. This means they can use this data for cost-cutting and operational efficiency. This results in creating value through increased profitability.
