Project scope is the key element in the project planning. It involves the various activities documenting and determining the project goals, features, functions, deliverables, tasks, deadlines, and costs. It should include the details that ensure the delivery of a project. The project scope should be sorted out in a project’s lifecycle as it can influence the cost of the project and schedule. The project scope may consist of functional and non-functional requirements based on the nature of the project.

  • Project stakeholders, including own responsibilities

Any organization will depend on stakeholders preceding to a project development plan and it is important to know the roles and responsibilities earlier stage of the project. Normally the project stakeholders are affected either by the new service or product. Throughout the development of the project, the duties and responsibilities for team members and stakeholders will be determined in the project that can differ based on project size, complexity, scope and the structure of the organization.

  • Relationship of project to organisational objectives and other projects

Every project has several stages that involve project planning, project implementation, and project control. It contributes to organizational growth and development.

  • Reporting requirements

It depends upon the project size, scope, and the requirement. The control of the project delivery will be taken by the project manager.

  • Resources requirements

It is based on the materials and equipment. In the delivery van example, the resources can be both human resources as well as the material resources.

Having finished Project 1, use this information for Project 2. A) We require you to describe how you would use project management tools to develop and implement a project plan. Discuss at least 3 tools from below:

  • recordkeeping and reporting
  • consult and communicate with relevant stakeholders to generate input and engagement in planning, implementing and reviewing the project       
  • provide support to team members to enable them to achieve deliverables and to transition them as appropriate at completion of the project      
  • finalise the project including documentation, sign-offs and reporting
  • review and document the project outcomes.

Gantt and Bar Chart : A Gantt chart or bar chart is a tool consists structural information about project. We can see the completion of project level by level and step by step. It has horizontal and vertical axis and depicts the exact position of project. By this tool,

  • We can fix the time, we can estimate the time required for the project
  • Time taken for each task, status of each task in the project
  • It helps to save the time and alert the team members to finish project on time
  • It helps to adjust the project plan in the process of implementation
  • Gantt or bar chart facilitates to organize the resources for the assignment of tasks in the project.

Critical Path Method : It is like a mathematical technique which identifies the critical paths and analyses the connectivity among the core activities . It tries to find the way to complete the project as early as possible.

  • It finds the short cuts or ways to complete the project
  • Focuses on core or dependent activities
  • Highlighting the connectivity among the tasks
  • Focus on time management
  • It reveals the hurdles or bottlenecks associated with the project
  • Helps for scheduling the tasks

Program Evaluation Review Technique: It is a graphical representation depicts the outcomes of each task and connectivity and network of activities in the project.

  • It is also mathematical and statistical tool to estimate the probabilities to avoid risk associated with tasks as well as project
  • Very useful technique when there are more number of stake holders and if the project is complex in nature
  • It helps to control the implementation process

  • Gantt chart or bar charts will ensure us timelines, deliverables etc.
  • Critical path method technique or tool ensures the budget of the project, how to allocate resources, communication system among stake holders and management and team members
  • It builds the communication among core operations, develops proper system for project implementation such as reporting, documentation, file management etc.,
  • PERT helps to assess risks and predicts the uncertainties , works break down etc.,

Thus these are to be ensured before developing and implementing a project with respect to the techniques or tools selected .
