18.1). Peoples in the group are always different. Plan a structured discussion is a way to avoid verbal dominations. Be specific in your concern, so the conversation goes in a right way without turning into other directions. Another thing is giving the opportunity to others if anyone seems to be dominating in the meeting. Make the other people give alternative views for the dominators point. Giving opportunity to other people make the dominator to be more difficult.

18.2) The purpose of the agenda is to clarify the members when and where the meeting is going to be held and what are the things should be covered and discussed. This notification should be sent prior to the meeting and chairperson should review that the members should understand the meeting purpose and needs. It is the chairperson responsibility to remind the members and to make them participate in the meeting. It is chairperson role to control the meeting and all items of the agenda should be covered and to facilitate by giving the opportunity for everyone to participate in the discussions. He has to close the meeting by informing the outcomes.

18.4) The chairperson is responsible to run the meeting more effectively and to build a team approach. He must be a good leader and networker. He coordinates the activities of the team members and forms a bridge between the Chief of the organization and the team members. He should address all issues and concerns and take a right decision. He has to highlight the important points and clarify the misunderstanding.

18.5) It is the responsibility of the chairperson to make participation of everyone. Make everyone to write the ideas and to share their ideas on open discussions. Ask a question on the less assertive person and look for their responses. Break down into small groups for their active participation. Allow the shy people to write on the timeline. Give importance and response to the shy people. appreciate their thoughts and ideas for more involvement.
