The Communication-By-Objectives Approach (CBO) is a framework for creating effective messages. This approach directs you to use a whole-into-parts procedure to construct your communications. Conduct some research online to learn more about this approach and how you might apply it to your own writing.

Read the following email to be sent by a sales manager to the members of his sales team,and then answer the questions that follow.

Okay, everybody. I know it has been a tough time lately since the company numbers have not improved. All your sales numbers are lower than last year, plus the executive team has mandated that we increase the sales targets this quarter to make up for the poor numbers you brought in last quarter. It has been hard for everyone, especially the managers, because we are the ones who have to explain why your sales numbers are so low.

I have heard the conversations behind my back about how I am working you too hard, and how unfair it is that your sales targets keep changing. Well, guess what? Too bad! All the whining needs to stop, and you have to get out there and do your jobs. I know all of you have been in sales a long time, so I am sure if you just try a little bit harder, the numbers will improve.

The initial impression of email is moderate. The Sales manager wants the team to make know that the revenue generation is degrading from the previous years sales figure which meant that the team is not performing well. This impresses that the Communication by objective approach is not well defined here. No, this is not an effective message because the sales manager is not very clear about what need to be communicated to his team and what need not to be communicated.

One side the Sales manager says that Ok other hand side he shows the sales should be increased. There is no order or demand by the Sales manager. The Manager should have to clear cut states the subject regarding which he wants to tell about. Weather it is for the success or for the enhancement of the Sales figure. The managers views on this regarding all of this stuff should be mentioned in the email.

The manager has to describe the key points of objects to be defined in before so that the team should be prepared with it with the proper reply. I would feel not much harder to me as the manager does not specifically states anything in the message.

This actually confuses me to make any decision regarding the reply of the message. As the statements conflicts each other as well the language used is also not professional.

Using the CBO approach, the three specific changes I would make to the email message to make it more effective are as follows:

  1. I would state the objective of the email for what purpose I wrote the email.
  2. The tone should be professional one and little strict also.
  3. The greeting to the team is very much important in any email so I greet all employees and then write the email in less words that are very specific to the topic.
